Managed Sync keeps your listings on eBay, Shopify and ManaPool in step with Actana. Sold is gone everywhere, even when the app is closed.
Ground rules
- What you list goes online. A batch sent to a marketplace or List in your inventory. Nothing else.
- What Actana listed is fully synced. The quantity online is what you listed, and it goes down when your inventory does. Every sale is removed everywhere, and prices go along.
- What Actana didn’t list, it leaves alone. Your own listings and listings from CSV files keep running as before.
- Cards on CSV stay on CSV. If a card is on eBay, Cardmarket or TCGplayer via CSV, you can’t also list it through Actana on another marketplace.
Always on
Managed Sync is on as soon as you connect a marketplace. There is no switch to turn it off. You see the status of each marketplace under Settings → Marketplaces.
- Paused: for example after a sales region change, after you change your Plus marketplace or when the marketplace is no longer in your plan. Your listings stay online. Actana only lowers quantities there after sales and doesn’t add stock.
- No syncing at all: disconnect. Actana then sets every listing it manages there to 0.
If Actana listed cards before without Managed Sync, Managed Sync takes those listings over completely when you finish setup. Setup tells you first how many of them go to 0 because the card is no longer in your inventory.
What goes online
Only what you list goes online. If you raise the quantity of a listed card in the edit window, the extra copy goes online with it. Cards exported as CSV never go online through Actana. Lowering always applies right away: if you have fewer copies than listed, Actana lowers the listing.
How Actana spots sales
- eBay: Actana reads your new orders.
- ManaPool: ManaPool notifies Actana about every new order.
- Shopify: Shopify reports right away when a listing’s stock changes.
On top of that, a safety check regularly reads your listings on the marketplace. That way Actana also catches a sale nobody reported. A sale only counts once, even if several of these report it.
Change quantities in Actana, not directly on the marketplace. If you lower a quantity on the marketplace by hand, Actana counts it as a sale.
Held-back sales
If a marketplace suddenly reports lower quantities for many cards without any orders, Actana holds these back. The app then shows Sales held back at the top. Click Review. In the Were these sales? window you decide per card or for all of them:
- Sold: Actana removes the card and lowers it on your other marketplaces.
- Not a sale: Actana removes nothing and sets the quantity on the marketplace back to your stock.
With Later you decide another time. Sales with an order are always removed right away.
Problems on a marketplace
Under each marketplace in Settings, Actana lists listings it couldn’t end or lower, or that the marketplace couldn’t find anymore. Check them on the marketplace. If a connection has expired, the overview shows that too. Reconnect then.
Good to know
- Managed Sync starts with Plus for one marketplace of your choice, and Pro covers all of them.
- With Managed Sync on eBay, the eBay CSV can’t be chosen. Listings from older eBay CSV files join the sync with Switch to Managed Sync, see “FAQ”.
- Sales from TCG PowerTools or TCGplayer files you remove yourself.
- You can only archive cards without a listing through Actana. Archived cards don’t count. More under “Inventory and storage locations”.
- You connect a different eBay or ManaPool account only after disconnecting the current one.
- From an order, Actana only uses the order number, item and quantity. It doesn’t store names or addresses.
