Scanning & inventory

Inventory and storage locations

Your inventory holds every card you added from a batch, imported or entered with Add card.

Find cards

  1. Search at the top with Search cards.
  2. Narrow down by game. The choice appears once you have cards from more than one game.
  3. Under Filter you pick Condition and Language, under Channels for example Not online or Via CSV on eBay.

At the top you see how many cards you have. Archived cards don’t count. If identical cards sit in several entries, Actana also shows the number of entries. Needs attention shows cards with Managed Sync where an error occurred or a change is still being sent.

Channel marks

A logo on each card shows where it is listed. Hover over it to see the status.

  • Logo: listed, quantity is synced
  • Logo with a dot: change is being sent, or sync error
  • Faded logo: listing paused (quantity 0)
  • Logo with CSV: exported as a file, not synced

The Not online filter under Channels shows which cards are not online, or not fully.

Collections

  1. Click Select and mark cards.
  2. Click Add to collection and choose a collection or New collection from selection.

Your collections appear as tabs at the top next to All cards. When you finish a batch, you can also put cards straight into a collection. Deleting a collection keeps the cards in your inventory.

Archive

Archive cards you no longer sell, for example old scans. That keeps your inventory tidy without deleting anything.

You can only archive cards without a listing through Actana, so cards exported as CSV or never exported. Cards that are online through Actana stay in your inventory.

  1. Click Select and mark cards. Under Channels, the Not online filter helps.
  2. Click Archive. Actana suggests “Archive” with today’s date as the name. Cards with the same name go into the same archive.

Archived cards don’t count towards your card count, value or inventory limit. You find them in the Archive tab. With Restore or Restore all they come back, into their old collection too. Nothing is ever deleted.

Storage locations with Chaos Sorting

Turn on Chaos Sorting if you don’t sort your cards but put them away in scan order. Actana then remembers the slot of each card.

  1. Turn on Chaos Sorting for the batch.
  2. Enter the First storage location, for example AA-127-1.
  3. When you finish, Actana assigns slots in scan order and skips slots that are already taken.

How to read AA-127-1: AA-127 is the slot, the 1 is the first card in it. When a slot is full, it moves on and the card count starts again. Under Choose what counts up you decide which part counts and in which range.

Good to know

  • Cards from your inventory don’t go online on their own. You list them with Select and List. More under “Managed Sync”.
  • Storage locations already assigned stay as long as Renumber is off.
  • The storage location appears in the TCG PowerTools file, in the eBay CSV as the Custom label, and with eBay Direct as a private note on the listing. Shopify gets no storage location.
  • You don’t see storage locations in the inventory itself. You find them in History for each export and in the pick list, which guides you through your storage by location.
